Privacy Policy

1. Who we are

Ryvon ("Ryvon," "we," "us," or "our") is operated by Ryvon Intelligence Pvt. Ltd., a company registered in India. Ryvon provides an AI operating layer that connects to your business tools, generates summaries, executes workflows, places Voice AI calls, and answers questions about your documents (the "Service").

This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. By using Ryvon, you agree to the practices described here.

2. Information we collect

2.1 Information you give us directly

  • Account information — name, work email, password (if not using OAuth sign-in), company name and size.
  • Billing information — processed by our payment provider (Stripe); Ryvon does not directly store full card numbers.
  • Content you provide — documents you upload, instructions you give Ryvon, and preferences you set.

2.2 Information from connected tools

When you connect a third-party tool (Gmail, Slack, HubSpot, Notion, etc.), you grant Ryvon permission — via that tool's own OAuth screen — to read specific data needed to perform the Service. This may include:

  • Email and calendar content (for briefings, drafting, and scheduling)
  • Messages in connected channels (for monitoring and alerts)
  • CRM records (for updates and pipeline visibility)
  • Documents and pages you explicitly share (for document intelligence)

2.3 Information collected automatically

  • Usage data — features used, actions taken, timestamps, error logs.
  • Device and log data — IP address, browser type, operating system.
  • Cookies and similar technologies — see our Cookie Policy for full detail.

2.4 Voice AI call data

When you use our Voice AI agents, we record and transcribe the audio of the call to log the outcome, update your connected systems, and provide you with a call summary. By initiating Voice AI calls, you acknowledge that you are responsible for complying with applicable call recording laws in your jurisdiction, including providing notice to call recipients where legally required.

3. How we use information

  • To provide the Service — generating briefings, executing workflows, placing calls, answering document questions.
  • To maintain and improve the Service — debugging, performance monitoring, feature development.
  • To communicate with you — service updates, security alerts, billing notices, and (with consent) product and marketing updates.
  • To provide support — troubleshooting issues you report.
  • To comply with legal obligations and enforce our Terms of Service.

We do not sell your personal information. We do not use your email, message, or document content to train machine learning models.

4. How we share information

We share information only in the following circumstances:

  • Service providers — infrastructure (cloud hosting), payment processing (Stripe), email delivery (transactional email providers), customer support tooling, and AI model providers necessary to process your requests. These providers are contractually bound to protect your data and use it only to provide services to Ryvon.
  • Your connected tools — when a workflow or action you've configured requires it (e.g., posting to Slack, updating a CRM record) — always limited to what you've explicitly enabled.
  • Legal and safety — if required by law, subpoena, or to protect the rights, property, or safety of Ryvon, our users, or the public.
  • Business transfers — in the event of a merger, acquisition, or sale of assets, with notice provided to you.

We never share your data with third parties for their own independent marketing purposes.

5. Data retention

  • Account data is retained for as long as your account is active.
  • Email/message content processed for briefings or actions is retained only as long as needed to deliver that briefing or complete that action, then deleted.
  • Uploaded documents are retained until you delete them or close your account.
  • Voice AI transcripts are retained for the duration of your account, unless you delete them earlier.
  • Upon account deletion, we remove your data within 30 days, except where retention is required by law (e.g., billing records for tax compliance).

6. Your rights and choices

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, email hi@ryvon.ai or use the in-app data controls under Settings → Account.

6.1 EU/UK/EEA users (GDPR)

If you are located in the European Economic Area or United Kingdom, you have rights under the General Data Protection Regulation, including the right to lodge a complaint with your local data protection authority.

6.2 California users (CCPA/CPRA)

California residents have the right to know what personal information is collected, request deletion, and opt out of the "sale" or "sharing" of personal information. Ryvon does not sell personal information.

6.3 Disconnecting tools and revoking access

You can disconnect any integration at any time from Settings → Integrations. This immediately revokes Ryvon's access token for that tool; you can also revoke access directly from the third-party tool's own security settings (e.g., Google Account → Third-party access).

7. Security

  • All data is encrypted in transit (TLS) and at rest.
  • Access to production systems is limited to team members who need it, and all access is logged.
  • All integrations connect through OAuth; Ryvon never asks for or stores your passwords for connected services.
  • We are building toward SOC 2 Type II compliance. Current status is published on our Security page at ryvon.ai/security.

No method of transmission or storage is 100% secure. If you believe you've found a security vulnerability, please report it to security@ryvon.ai.

8. Children's privacy

Ryvon is not directed at individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact hi@ryvon.ai and we will delete it.

9. International data transfers

Ryvon is based in India and may process data in India and other countries where our service providers operate. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for international transfers.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be notified via email or an in-app notice before they take effect. Continued use of Ryvon after changes take effect constitutes acceptance.
